Operations Load & Role Mapping

Prep for our Wednesday working session. The goal is to map what the office manager role actually holds right now, and figure out what should move.

Your report list was genuinely useful — twelve recurring systems is more than anyone would guess from the outside, and it explains a lot.

What I can't see from a list is how long each one takes, how much of it is you doing the work versus checking someone else's, and which ones you'd hand off tomorrow if there were somewhere to put them. That's what this is for.

Gut answers beat perfect ones. If a section doesn't apply, skip it.

1Your name

2The twelve reports

For each one: roughly how long it takes you per week, whether you're doing it or checking it, and whether it could move to someone else.

On "Doing vs. Checking": a few of these say someone else updates it and you oversee or audit. I want to know which ones are genuinely off your plate versus which ones you're still carrying the verification for — because checking never really ends.

4The role itself

5Two things you flagged

Both of these came out of your report list and I'd like to go further on them.

On the Spruce report you wrote: "I oversee it but as of now do not know how and what to extract from it since it is so new."
On open notes and charts you wrote: "As of now there is no process as to when clinical staff knows how many open notes they have. Everyone is aware of this (as I have emailed before) but no standard of how often they're checking and removing these."
